How to Scale Admin Support Without Hiring Internally
A step-by-step way to identify repeatable administrative work and prepare it for scoped offshore support.
Inventory the recurring work
List scheduling, inbox handling, document updates, data entry and follow-up tasks. Record frequency, approximate volume and the person currently doing them. Avoid starting with a job title before understanding the queue.
Separate execution from decisions
Some work can follow a procedure; other work requires management judgment. Define approval limits and escalation examples. An assistant can organize information for a decision without receiving authority to make the decision.
Document a small workflow first
Create a short procedure with input examples, completion standards and common exceptions. Choose a system of record and an internal owner. This reduces repeated clarification and gives the support role a reliable way to learn.
Compare total operating effort
Review quality, rework, management time, tools and coverage alongside the quoted service fee. A small pilot can show whether offshore support fits the workload. Expand after the handoff works, with new duties documented rather than added informally.

How can we apply this to our requirement?
Start with a written role or workflow brief, identify internal approval owners and discuss the delivery assumptions before requesting a final proposal.
