01 / The approach

Find the constraint before adding recruiters

Review a representative week of recruiter activity. Separate relationship work and hiring judgment from repeatable tasks such as research, scheduling and ATS maintenance. Capacity problems often arise from a poorly defined handoff rather than a simple lack of people.

02 / The approach

Turn support into a measurable output

Describe what the recruiter should receive from each support task. A sourcing list needs agreed criteria and duplicate checks; a screened profile needs evidence against requirements; an interview schedule needs confirmed availability. Define acceptance standards before setting activity targets.

03 / The approach

Protect the agency’s communication rules

Decide which party contacts candidates, how the agency name is used, who speaks to clients and who may make commitments. White-label arrangements should specify confidentiality, data access and reporting. Ambiguity here can damage a client relationship even when the support work is otherwise competent.

04 / The approach

Pilot a desk and review rework

Begin with one workflow or desk. Track how much output recruiters can use without correction, how often information is missing and whether the handoff reduces bottlenecks. Increase scope after the workflow is stable, not simply because activity has increased.
